Important notes on international travels & tours for easy understanding.


1. Any Increase in the fuel surcharge or any kind of government taxes levied by the respective government or statutory bodies. Air ticket charges which may vary at the actual time of ticket. .

2. Any expenses of personal nature such as laundry, wine & alcohol, water, porterage, mini bar,telephone calls, pay channels and others.
Food & drinks other than those mentioned.. Penalty –for example smoking in non- smoking rooms and other such penalties. Cost of Airport transfers of the guests, who are not part of the group or additional airport transfers, if any

3. Any extra expenses incurred for changing the route due to any unforeseen circumstances, force majeure instances, natural calamities, political disturbances, flight delays, strikes, flight missing due to unforeseen circumstances and others. Extra cost incurred due to illness, accident, hospitalization or any Individual unforeseen cost incurring incidence.

4. Any private transfers taken to move from one place to another instead of the coach, Persons who do not follow punctuality and is late will have to take transportation at their own expense to join the group. The Coach will not wait for late comers.

5. Any add-on sightseeing/ activities along with transfers other than mentioned in the tour program and anything not specifically mentioned in Tour Cost inclusions.

6. Regarding VISAS please collect the check list from the office or from the Website. Courier and other charges for documents for visa purpose is to be paid extra. The Consulate may ask to do certain Medical examination, which has to be done by the passengers personally at the specified Hospital/Doctor and the cost will have to be borne by the passengers. Cancellation charges effected due to visa rejection or anything beyond our control will be borne by the passengers. Documentation charges for visa purpose will have to be borne by the passengers. Granting of visa is at the sole discretion of the Consulate. We will not be responsible for any visa rejection by the Consulate, visa delay, mistakes in visa print by the Consulate concerned etc.

Bio Metrics is a must for the visa and the passengers have to come directly for the same. If any interview is required, passengers have to go to the Consulate at their own expenses. Visa fees and other expenses like advance for hotel booking and ticket charges are not refundable, if the visa is rejected or delayed. In case the candidate is refused the visa, second time applying will incur additional cost which is additional payable by the passengers.

Documents for VISA:
For all major tours –

* Passports including the old ones

* Required photographs

* Bank statement for the past 6 months at the time of submission with a minimum balance as per Consulate direction

* 3 years IT Challan and OR Pension papers,

* Fixed deposit receipts and any other financially viable documents which proves the financial stability of the client

7. Itinerary, routing, costs, dates are subject to change with or without notice. We are Tour Coordinators only and do not own any of the services mentioned above.

8. Tour cost is based on minimum 30/35 passengers travelling together in the group. If there is a drastic fall in the number, then the offered tour cost, meal plan, vehicle and other services may change accordingly and the difference in amount has to be borne by the passengers.

9.Any deviations from the tour will be charged extra as per the prevailing Airfare like sector change, date change etc.

10. Twin and Triple sharing charges will be the same per person. For Single Passenger travelling without family have to share a room either on twin or triple sharing basis (Roll away bed) depending on the booking. If we do not have another Single passenger to share the room, Single Supplement with additional cost is applicable. This cannot be confirmed before submitting for the visa or issuing tickets. Incase the twin/triple bed is not available then the passenger will have to pay for the single accommodation and failing to pay there will be cancellation charges applicable.

11. Check in time in Hotel is after 1400/1500 hours and check out is before 1100/1200 hours.

12. Visa fee and flight ticket (onward & return) will be non –refundable at any circumstances.

13. In UK, on certain days the changing of guards may not take place at the Buckingham Palace. The company will not accept any claim on the same. On Certain Wednesdays Papal Audience may not be available in Vathican.

14. Changing from one tour to another tour will be treated as cancellation and the cancellation charges will be applicable. Once an airline ticket is issued, date change penalty will be applicable, and so is the visa validity and submitting again will be at extra cost.

15. There are coach restrictions in some cities, in such situation the Tour manager and the driver will do their best to drop you as near to the monuments as possible.

16. The company reserves the right to postpone or cancel any of the tours advertised, without assigning any reason. In this case, either the passenger will have to travel on the next available date OR amount paid by the passengers will be refunded after deducting any expenses incurred such as visa, air tickets, train tickets if issued or deposits paid to airlines and no compensation claim will be entertained.

17. The tariff of the tour quoted is calculated as per the rates prevailing at the time of quoting. It is based on departure from Kochi, unless specifically mentioned. Tourists boarding flights at places other than Kochi have to pay if any airfare difference and bear and pay any other additional expenses including airport transfers, hotel stay etc. on that account.

18. Company takes care to select hotels and book the same on behalf of the tourists at convenient locations subject to availability. In case of non-availability of rooms in the same hotel, company has the right to split the accommodation in different hotels. Air-conditioning, central heating and other facilities are provided by the hotels depending upon various factors including weather / climatic conditions, local systems, tour type, etc.

19. As a Tour Operator, the company does not have any control over Airlines, Coach Companies, Shipping /boating Companies, Hotels, Local Transport or any other facilities, provided by the third parties. The company is not responsible for the delays or deficiencies in the services provided by outside agencies. Also please note that the company does not have any control on schedules of opening and closing timings of the tourist attractions.

20. In computerized reservation system of Airlines seats once reserved cannot be changed. Tour participants will have to travel by the same seat provided by Airline.

21. The guests are requested to collect Air tickets, Visas and other travel documents from the office of GnS Leisure Travels, after making the full payment. No tickets will be sent by courier. No payment will be accepted at the airport. All payments must be paid well in advance and the final documents including the operating itinerary be collected.

*Any damage caused to the hotel rooms or coach during your stay shall be payable by the passengers.* Shop lifting is a serious offence.

22. The itinerary is for reference, we reserve the right to change the itinerary under the circumstance of Force Majeure such as flight cancellation / delay, fire, flood, earthquake, strike, etc. We will do our best to complete the itinerary. Otherwise, any deviation in the itinerary is not allowed and any extra services like additional shopping or change in rooming and others. If you need you have to pay for the extras while overseas, and no charges will be borne can be made by GnS. Please follow the announcements of your guide, Tour Manager about the accuracy of the day to day time wise itinerary every morning and afternoon.

CAUTION: It is recommended to sleep with dry hair and not wet the pillows. Please use dyes very carefully so that the dye is NOT transferred to the pillow covers, bed sheets and towels in the room. This is because the colours are not easily washable and Hotels will need to replace with new. Hotel will charge for the damages on check out. Thanks in advance for your understanding.

23. Shopping policy: In certain countries like China, Hong Kong & Thailand, Guides have to mandatorily take the Groups to certain shopping outlets. It’s up to the passengers to purchase or not.

24. Travel Medical and Accident insurance to be obtained before travel.

25. Please strictly follow the dinner timings as given. Hotels these days don’t allow packed food to be carried to the Hotel. All the guests must respect the staff working hours according to the Labors Law of the respective country.

26. The working hours of drivers have certain restrictions in different countries. Due to traffic blocks or delays, if there is a delay, need to collectively give additional tips and extra charges and incase it is because of a particular group or individual they would have to opt to travel on their own.

27. All hotels may request you to pay deposit for your personal consumption. You may deposit in cash or by credit card, please don’t deposit debit cards. Make sure you attain the receipt from the hotel if a deposit is given and keep it safely. When you check-out, hotel will return the deposit amount less any laundry, telephone charge, and mini bar usage etc. Your hotel rooms may have items kept in the fridge as well as in the bathrooms of those marked for sale or price mentioned on it or on a list are payable. For group bookings, not all rooms will have tea/coffee kettle, although they are 4* /3* category rooms.

28. Be punctual for all flights, transfers, tours & meals. Maximum of 5 minutes grace time may be given and strictly no refund or adjustments for any unutilized services. If you are not on time, please reach on your own at the next point where you can meet the group and the transfer cost is on your own. Therefore please carry this itinerary, your passport, money, phone at all times.

29. Please carry the GnS cap for identification. Please keep an extra set of clothes and necessary items for freshening yourself, in your handbag on flights for emergency use, including a set of your clothes incase your luggage is delayed or not reached on the same flight.

30. Reporting time at the Airports is 2-3 hrs prior to departure. Therefore please check your ticket and accordingly report. You are entitled to carry a certain baggage weight of in flight check-in luggage and 7 kgs as hand luggage, as per your chosen ticket, exceeding which you will have to pay for, as per the baggage rules of the Airlines. Domestic travel within countries like USA, Australia, and New Zealand has its own baggage weight regulations and any extra baggage weight payable is to be done by the passenger. Liquid/semi liquid, sharp edged items are not allowed in the hand baggage..However for accuracy please check your ticket or website of the Airlines. Power banks are not allowed in the check in baggage.

31. Please take extra care of your belongings especially your travel documents, foreign exchange baggage and others. and we suggest you use the locker in the Hotel (given free of charge) to safe keep your travel documents.

32. Tipping is a must in most countries. Drivers, Guides, Restaurant staff, baggage handlers and others are expected to be tipped. Expected minimum Euro / USD 3 per day per person/child, on most of the tours, and in some countries USD5 per person at the end of the tour for the guide/driver/Tour Leader.

33. It is recommended to collect the visiting card of the hotel for easy identification of location in case you have to be on your own, Keep the phone numbers of the Guide/Manager.

34. Drinking Alcohol or alcoholic drinks in the coach is not allowed during the tour. This is a group packaged tour meant and based on a whole group of people, families, and children, therefore cooperation & understanding from all the participants are a must. Any discomfort on a personal basis must be ignored and please maintain a FRIENDLY & POLITE behavior throughout the tour. During dinner/lunch timings please maintain the timings given for the onward or return journey, as the coaches will be leaving on time and no refund will be made for transfers taken on your own.


GnS will not pay any compensation, reimburse expenses, or cover losses for any amount or otherwise accept responsibility if there is a need to change the Packaged tour after departure, or we, or our suppliers, cannot supply your Package, as we, or they, had agreed, or you suffer any loss or damage of any description, as a result of circumstances beyond our control. When we refer to circumstances beyond our control, we mean any event that we, or the supplier in question, could not foresee or avoid, even after taking all reasonable care. Such circumstances will usually include, but are not limited to, war, terrorist activity, civil unrest, industrial dispute, bad weather (actual or threatened) and significant building work ongoing outside of your accommodation, which is not known to us in advance of your departure date and building work from a third party (such as resort development).

36. Conditions of Payment: A non refundable deposit of Rs. 25000 or 50,000/- as the case may be, has to be paid at the time of booking. The balance amount in INR to be made before the submission for visa or as required by the suppliers. The foreign exchange payable overseas, a minimum of 30 to 45 days prior to departure date as per the tour, and often before the visa processing as the confirmed documents are required for visa submission. In case of passengers not paying the balance payment on time we will not be able to process the visa nor keep the hotel accommodation or air ticket as per the group. The consequence if any, the passenger is responsible for same.

37. Cancellation: For any kind of cancellation, 90 days prior to departure, if there is an alternate arrangement possible to avoid the Airlines forfeiting the advance paid, Rs.10,000 cancellation charges to be paid, from the advance payment of Rs.25000/50000 as the case may be, and the balance will be adjusted towards another tour. However, sometimes based upon the circumstances the complete advance paid is non-refundable.and cannot be adjusted in another tour. Cancellation received must be in writing and during working days. For cancellations 31 days prior to departure charge of 50% of the tour cost will be applicable. 100% of the tour cost will be levied as the cancellation charge within 15 to 31 days of departure. Telephone intimation will not be considered for cancellations. If the payments are not made as per the required date given, not only the hotel/ ticket etc gets cancelled and the amount so far paid if any will also be automatically forfeited as the tickets booked/ purchased and hotels and other arrangements made are non refundable. Also please be notified that the entry to Foreign land is fully at the discretion of the emigration authorities, and we the tour operator cannot be held responsible for their action and the consequences thereof.

38. Jurisdiction: For all claims, disputes of whatsoever nature relating to the tour marketed / coordinated by GnS Leisure Travels Pvt Ltd, the court in Ernakulum only has exclusive jurisdiction. For more information, booking conditions & other tours. Please visit our website www.gnstours.com
